Request letters from owners of commercially registered vehicles (closed jeep – Bolero / Scorpio/ Sumo/ Xylo /TUV only ) of Model- 2014 or Later are invited for providing services of hiring of their vehicles on our pre- fixed rate , terms & conditions for one year (which may be extended for another one year ) .

A) Bolero / Scorpio/ Sumo/Xylo/ TUV --

12 hrs duty --- Hiring charge @ Rs, 17,165/- per month

B)Bolero/ Scorpio/ Sumo/ Xylo/ TUV --- 24 Hrs Duty --- Hiring Charge @ Rs. 22,650/- per month Diesel cost reimbursement: @ 12 KM per Litre (applicable for both 12 Hrs duty & 24 Hrs duty Vehicle)

Start date of submission of request letter: 25.02.2017

Last date of submission of request letter: 20.03.2017

Interested individual vehicle owners are requested to submit their application on or before 20.03.2017.

Note: I) Selection of vehicle will be made with respect to Date of registration of vehicle among the request letter received within the specified time.

i.e Priority shall be given to newer vehicle w.r. to their date of registration.

II)Owners having with newly purchased vehicle (Registration under process )may also apply.

Detail Terms & Conditions for hiring of Vehicle

1.Monthly hiring charge for 12 hrs duty Closed Jeep – non A.C (Tata Sumo / Bolero / Scorpio / Xylo / TUV) shall be @ ` 17,165/- and for 24 hrs duty vehicle, it shall be @ ` 22,650/- .

2.Monthly hiring charge (as mentioned above ) is inclusive of salary / wages of driver, Commercial tax liability of owner, Comprehensive Insurance, maintenance cost, cost of Spares / Consumables like Lubricants, Engine oil, Brake oil ,Grease etc and other incidental Charges.

3.Model of the deployed closed jeep (Tata Sumo / Bolero / Scorpio / Xylo / TUV) shall be of year 2014 or later.

4.Period of Hiring of Jeep shall be initially for one year with a provision of extension for another one year on same rate / T&Cs as per requirement of KBUNL.

5.Vehicles must have Commercial Registration (Bihar state only) and valid Insurance.

6.Maximum no. of vehicle (Closed Jeep) taken on hiring of an individual owner shall be restricted up to 03.

7.Duty Hours for Vehicles engaged on 12 Hrs. basis shall be from 8.00 AM to 8.00 PM. Vehicle shall not be rented out to any other place / organisation / office / individuals during the entire period of contract.

8.Over Time Charge: @ ` 50/- per Hour (Applicable for 12Hrs.duty vehicle only) shall be paid extra as per certification of EIC .

9.Night Halt charge: @ ` 150/-per night (Applicable for 12 Hrs. duty vehicle only)

10.Maximum Permissible limit of running of vehicle (under official use) in a month is 2500 Kms.

11.Cost of diesel shall be reimbursed at the rate of 12 Km/ Litre .

12.Parking Fees, Toll Tax etc shall be reimbursed extra against submission of documentary proof.

13.For Vehicles, engaged on 24 Hrs basis, owner should have to deploy (two ) 02 nos. drivers.

14.Penalty for non-deployment of Vehicle

a) For 12 Hrs. Duty Vehicle -

@ ` 750/- per day

b) For 24 Hrs. Duty ---

@ ` 1000/- per day

Every month 01 day OFF (including Sundays), as per suitability of EIC, without imposition of penalty shall be allowed for maintenance of vehicle.

For the Purpose of penalty, part day absent will be treated as full day absent unless otherwise permitted by EIC.

15.In case of non-deployment of vehicle for more than three times without prior information to EIC Or without consent of EIC, contract may be terminated and request for hiring of vehicle of the said owner may not be considered for the next 02 years.

16.The contract may be terminated by KBUNL at any time as per total discretion of KBUNL by serving 07 days notice, if performance of agency is not satisfactory in line with clauses of the contract

17.In case of major break down /major maintenance / accident, Owner may provide substitute vehicle of same type with all other compliance (like Year of registration / commercial registration. Make / Model etc ) for the maximum period of one month with proper information/ request to EIC / contract Deptt.

In case of accident of vehicle during period of contract, there shall be no liability (of any kind) on

KBUNL.

18. Monthly bills (along with details of Log book) shall be submitted by the Contractor/ Agency after completion of a particular month and shall be paid within next 30 days from the date of submission of bills complete in all respect & certification of EIC.

19.Security Deposit Deduction: Not Applicable.

20.Service tax (As applicable) or any other tax (in place of service tax which comes into force during the period of the contract) shall be paid by KBUNL to Central Excise Deptt / Govt. Department directly .

21.Following documents to be submitted to EIC (Engineer In-Charge) before deployment of Vehicle.

(A)Copy of ownership / registration

(B)Document related to Commercial registration , Valid Fitness / Pollution certificate)

(C)Copy of Pan Card / Service Tax Registration of the owner of Vehicle (Whichever is applicable) / ID proof of owner .

(D)Driving licence of Driver

(E)Valid Insurance Paper of Vehicle

22.Agency / individual deploying the Vehicle should have to ensure compliance to Central Minimum Wages.

23.All documents (like: Ownership, Commercial Tax Regn. Insurance, Road tax etc) related to the vehicle to be verified with the original by EIC/Execution deptt. before release of the 1st RA bill.

24.Initially vehicle (closed jeep – Bolero / Scorpio / Sumo /Xylo / TUV only ) shall be hired for one year (from 01.04.2017 to 31.03.2018) which may be extended for another one year on same rate / T&Cs as per requirement of KBUNL .

25.Preferance shall be given to newer vehicle with respect to date of registration of vehicle (re- registration shall not to be considered during prefferance )

26.Interested individual owner(s) shall have to submit a letter of undertaking (LOU) on non judicial stamp paper of value of Rs. 500/- in specified format of KBUNL . Format of LOU is attached herewith .

27.All individual application / consent letter to provide hiring service of closed jeep shall be accompanied with Letter of Undertaking (LOU) alongwith relevant papers of vehicle intended for hiring (like : ownership / commercial registration ,Insurance , Fitness , permit etc. )

28.In case of loan sactioned by a financial institution , EMI should be paid on time and documentry proof of the same to be produced , when specifically asked by EIC and failure to do so contract may be terminated and in case of complain received from financial institution (or incidence of recovery during contract period ) request for hiring of vehicle shall not be considered for another 03 years .

29.Owners having with newly purchased vehicle ( registration no. not alloted / registartion under process ) may also apply with a declaration that papers related to commercial registration will be submitted within next one month from the date of deployment of Vehicle and in that case first running bill will be processed only after submisioon of registration document / relevant papers .

Further i also confirm my acceptance to submit document related to commercial registration within one months from the date of deployment of my vehicle in KBUNL .

I also agree that in case of delay in submiision of registration papers , running bill can be held up by KBUNL and same shall be released only after submission of aforesaid document .

4.I / We hereby further undertake that during the period of contract (initially one year which may be further extended for another one year ) I / We shall comply with Terms , conditions provision (s)of tender documents.
